When you use the AI Advisor, we process the prompt you submit and the response generated for you. Please do not submit passwords, payment data, special-category personal data, trade secrets, source code, or other confidential information through the AI Advisor.

When the website is used, our systems and service providers may process limited technical information such as IP address, browser and device information, timestamps, requested pages, diagnostic data, and security-verification data.

This information is used to deliver the website, keep it reliable, detect abuse, prevent spam, troubleshoot errors, and protect our systems and users.

We process personal data to:

Respond to inquiries and communicate with prospective and existing customers;

Understand project requirements and take steps before entering into a contract;

Provide the AI Advisor response requested by the user;

Operate, secure, maintain, and improve the website and its features;

Prevent spam, fraud, misuse, and security incidents; and

Depending on the circumstances, we rely on:

Contract or pre-contractual steps: when you ask us to discuss or provide services, or request an AI Advisor response;

Legitimate interests: to communicate, operate our business, provide useful website functionality, secure our services, and prevent misuse;

Legal obligation: where processing is required by applicable law; and

Consent: where we specifically request it. Consent may be withdrawn at any time without affecting earlier lawful processing.

The AI Advisor is an automated tool that generates general, preliminary information based on the prompt you provide. Your prompt may be transmitted to infrastructure or an AI service provider acting for Apogears so that a response can be generated.

The AI Advisor does not make decisions that produce legal effects or similarly significant effects about you. Its responses may be incomplete, inaccurate, or outdated and should not be treated as professional, legal, financial, medical, security, or other specialist advice.

We do not sell personal data. We may disclose relevant data to:

STRATO: virtual private server (VPS) hosting for the website and its supporting infrastructure, and email services used to receive and manage communications;

Cloudflare Turnstile: security and automated-abuse prevention for website forms;

AI and infrastructure providers: where required to generate and deliver AI Advisor responses;

Professional advisers, insurers, auditors, or authorities where reasonably necessary or legally required; and

A buyer, investor, or successor in connection with a genuine corporate transaction, subject to appropriate safeguards.

Processors may use personal data only under our instructions and applicable data-protection requirements.

We aim to process and host website data within the EU/EEA. Some service providers or their support operations may, however, process data outside the EU/EEA.

Where required, we use a lawful transfer mechanism such as an adequacy decision, the European Commission's Standard Contractual Clauses, and supplementary safeguards appropriate to the transfer.

Contact inquiries: normally for up to 12 months after the last communication, unless the inquiry becomes part of an ongoing customer relationship or a longer period is required by law or for legal claims.

AI Advisor prompts and responses: only for as long as reasonably necessary to provide the feature, maintain security, investigate misuse, and troubleshoot the service, after which the data is deleted or anonymised according to operational schedules.

Technical and security records: for the period reasonably necessary to protect and maintain the website and investigate incidents.

Retention may be extended where information is relevant to a dispute, legal obligation, or active contractual relationship.

We do not use advertising or behavioural-marketing cookies on this website. The website and its security providers may use strictly necessary storage, cookies, tokens, or similar technologies to deliver features, maintain security, prevent abuse, and remember essential technical state.

If analytics or other non-essential technologies are introduced, this notice and the website's consent controls will be updated as required.

We do not sell personal information or share it for cross-context behavioural advertising. We do not intend to collect sensitive personal information through the public website or AI Advisor. Where applicable, you may request access, correction, deletion, or a copy of personal information, and you will not be discriminated against for exercising a legal privacy right.

We apply technical and organisational safeguards designed to protect personal data. No online system is completely secure, so users should avoid submitting information that is unnecessary for their inquiry.

The website is intended primarily for businesses and adult professionals and is not directed to children. We do not knowingly collect personal data from children through the website.
